Privacy Policy

Last updated: September 1, 2026

1. Overview

Praxilog ("we", "us", "our") operates a practice-management platform for licensed healthcare practitioners, including occupational therapists (OTs), physical therapists (PTs), and speech-language pathologists (SLPs). This Privacy Policy explains what data we collect, how we use it, and the safeguards we apply. By using Praxilog, you agree to the practices described here.

2. HIPAA Disclaimer

Praxilog is a practice-management tool, not a covered entity or business associate under the Health Insurance Portability and Accountability Act (HIPAA). We do not act as a covered entity and do not provide legal or compliance advice. You, the practitioner, are solely responsible for your own compliance with HIPAA and other applicable healthcare privacy regulations regarding any patient data you enter into Praxilog, including obtaining any required patient consents and executing Business Associate Agreements as appropriate. Praxilog applies technical safeguards such as encryption in transit and at rest, authentication, and per-account data isolation, but compliance with your professional and regulatory obligations remains your responsibility.

3. Information We Collect

We collect and store the following categories of data to provide the service:

  • Account information

Your name, email address, authentication credentials, role, and practice settings used to administer your account.

  • Client and session data

Client names, contact details, scheduling, session progress notes, clinical progress metrics, and therapeutic information you enter to manage care.

  • Income and expense data

Payer information, gross amounts, expense items, receipts, mileage logs, and tax-category data you record for revenue and deduction tracking.

  • License and credential data

State license numbers, issue and expiration dates, continuing education (CEU) course records, and credential attachments.

  • CEU records

Course names, completion dates, hours, formats, subject tags, and providers used to track your continuing education compliance.

4. How We Use Your Information

We use your data solely to operate Praxilog for you: to display your client and schedule information, generate home exercise programs, check medication interactions, track revenue and expenses, monitor license and CEU compliance, and provide secure messaging to your clients. We do not analyze your clinical data to train external models.

5. We Do Not Sell Your Data

We never sell your clinical, client, financial, or credential data to third parties. We do not share your data for advertising purposes. The only external services we use are Stripe, solely to process subscription payments (Stripe receives only billing details, not your clinical data), and our AI provider, solely to generate home exercise programs and standardize activity notes based on the prompt you submit.

6. Coach or Employer Access

If you are invited to Praxilog by an employer, coach, or supervising practitioner as part of a professional relationship, that party may access practice data you enter within the context of that relationship. You are responsible for understanding what data your employer or coach may view under your professional arrangement before entering patient information.

7. Data Security

All data is transmitted over encrypted connections (HTTPS/TLS) and stored in secured, access-controlled databases. Authentication tokens are managed by the platform. Access to your records is restricted to your authenticated account; other practitioners cannot see your data. Payment information is processed by Stripe and never touches our servers.

8. Data Retention & Your Rights

Your data remains in your account for as long as your subscription is active. You may delete individual records at any time. Upon account termination, you may request deletion of your stored data. You may access, correct, or delete the data you have entered at any time through the application. To request export or full deletion of your account data, contact us at css@workmail.com.

9. Changes to This Policy

We may update this Privacy Policy as the service evolves. Material changes will be communicated within the app or by email. Continued use after a change constitutes acceptance of the updated policy.

10. Governing Law

This Privacy Policy is governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law provisions. Any disputes arising under this policy shall be resolved in the courts located in Florida.

11. Contact

If you have questions about this Privacy Policy or your data, please contact us at css@workmail.com.
